High school diploma required; Bachelor's Degree in Business or Logistics is preferred.2-5 years of recent experience in administration, operations, or logistics is preferred. Experience in inventory control and procurement planning is advantageous. Exceptional communication skills, with a strong command of English (reading, writing, speaking). Strong analytical skills, numeric aptitude, technical proficiency, and effective problem-solving abilities. Proficient in Microsoft Office applications, with advanced Excel skills required. Excellent report writing and presentation skills. Able to learn new computer systems, products, concepts, and techniques quickly. Organized team player who can work independently in a results-oriented, fast-paced environment.

About the job

We are seeking a dedicated Customer Service Representative who will play a vital role in managing all aspects of account servicing. This includes order processing, invoicing, inventory management, handling returns, logistics for branch offices and equipment, and supporting the Operations Department with its daily operations and month-end closing duties.

Key Responsibilities:

  • Oversee regional inventory and logistics, ensuring stock optimization and accurate material flow through our in-house order processing system.
  • Manage customer accounts across the entire order process from entry and placement to follow-up and inquiries, while maintaining clear communication with customers and sales teams about product availability and delivery schedules.
  • Handle a high volume of calls and inquiries, swiftly resolving issues and proactively communicating any changes that may affect order fulfillment.
  • Accurately process pricing, billing, and credit requests, ensuring all services are invoiced according to contract terms or purchase orders.
  • Monitor and rectify discrepancies within the order processing system, recommending and implementing corrective measures.
  • Manage back orders and coordinate with logistics and operations to ensure timely procurement and equipment transfers.
  • Review order confirmations for billing accuracy and provide correct pricing for both custom and standard items to customers and sales personnel.
  • Assist with additional logistics and operations tasks to promote efficient regional operations.

Additional Responsibilities:

  • Engage in other assigned duties and projects, including participation in company committees and teams.
  • Ensure adherence to safe working practices and maintain a safe work environment.
  • Comply with all corporate policies and business practices.
  • Actively participate in facility and equipment management meetings as needed.
