As an Executive Assistant at collabera2, you will play a pivotal role in providing top-tier administrative support to our executive and senior leadership teams. Your key responsibilities will include:
• Delivering comprehensive executive-level administrative support to facilitate efficient operations.
• Managing day-to-day administrative functions for executives and senior leaders with minimal supervision.
• Coordinating complex calendars, meetings, and priorities, while recognizing urgent requests and advising others on effective coordination strategies.
• Exercising independent judgment to manage, modify, schedule, and decline requests as necessary.
• Organizing global travel arrangements, including multi-site visits and meetings with both internal and external stakeholders, demonstrating flexibility for last-minute changes.
• Performing various administrative duties, such as:
- Screening and directing phone calls.
- Composing clear and concise correspondence and emails.
- Creating documents, reports, presentations, and spreadsheets with a keen eye for layout and style.
- Scheduling meetings and managing conference room reservations.
- Preparing meeting agendas and related materials.
- Arranging for necessary technical support and equipment.
- Attending meetings to take notes, prepare minutes, and ensure follow-up on commitments.
- Anticipating the needs of executives and proactively resolving issues.
- Demonstrating professionalism in all interactions and handling urgent matters outside of normal office hours.
