We are seeking a highly skilled and proactive Executive Personal Assistant to join our dynamic team at the Park Lane Office. If you are an organized self-starter with exceptional time management abilities, this position may be the perfect fit for you.
The ideal candidate will take on a variety of responsibilities, including:
  • Providing comprehensive PA support to the CEOs of Fine & Country and the Guild of Property Professionals, which includes:
  • Expertly managing diaries and scheduling appointments
  • Coordinating meetings and reserving meeting rooms, including off-site venues as needed
  • Handling travel arrangements, including securing hotel and flight bookings with necessary approvals
  • Managing emails and responding to inquiries where applicable
  • Fielding telephone calls
  • Drafting letters, reports, and presentations, including audio typing
  • Conducting specific projects and research as required
  • Delivering professional, warm, and efficient Front of House/Customer Service, including greeting visitors
  • Answering calls and managing postal correspondence, including coordinating courier services
  • Maintaining the meeting room calendar
  • Arranging refreshments for meetings when necessary
  • Ordering and restocking office and kitchen supplies
  • Ensuring annual renewal of all office and facilities supplier contracts
  • Overseeing the upkeep of marketing materials
  • Participating in the Saturday office rota
  • Managing emails directed to the Admin account
  • Assisting in organizing company and social events throughout the year

Moreover, additional responsibilities will include:

  • Overseeing building security
  • Serving as Fire Warden and supporting office Health and Safety, which involves:
  • Conducting risk assessments
  • Maintaining established standards and processes
  • Ensuring adequate first aid training for staff on-site
  • General maintenance of the office environment and facilities

The successful candidate must possess extensive experience in a similar role, particularly in administration and office management, with a keen eye for detail. You should also have:

  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • A positive attitude and a strong commitment to providing outstanding customer service
  • Excellent problem-solving skills

In return, we offer:

  • 25 days of annual leave plus bank holidays, increasing to 30 days with length of service
