Key Responsibilities:Manage the acceptance and creation of work orders through an online system, delegating tasks to internal and external technicians, subcontractors, and vendors.Maintain detailed and accurate updates regarding work order notes and statuses.Provide troubleshooting assistance to operational teams facing facility-related challenges.Ensure adherence to preventive maintenance programs as outlined.Prioritize urgent facility issues that may disrupt operations or jeopardize the safety of employees and customers.Effectively communicate and coordinate with landlords, vendors, suppliers, local government entities, and internal teams.Identify and procure necessary equipment and materials through online suppliers.Review and validate lease agreements to clarify responsibilities.Respond to phone inquiries professionally, directing calls as needed.Review, validate, negotiate, and process documentation from vendors, including proposals, invoices, insurance, service agreements, rate sheets, and construction documents.Assist in vendor communication and budget tracking.Support and uphold departmental goals and objectives.Receive, process, and ship materials and supplies efficiently.Oversee the quality of work and manage budget expenditures.Set up utilities with local service providers.Coordinate, track, and maintain comprehensive project documentation, including project plans, timelines, resource allocations, communications, inventory logs, and progress reports.Facilitate and coordinate meetings, preparing agendas, presentations, and necessary materials.Ensure project teams meet deadlines and deliverables.Report on project progress and address any challenges encountered.Be available for flexible work hours, including on-call support for work-related emergencies at all times.Travel as necessary to support departmental growth and oversee store openings and closures (approximately 20% travel).Participate in ad-hoc projects, roll-outs, and additional tasks assigned by the department.Support Home Office initiatives and special events as needed.Qualifications:General knowledge and experience in Facilities and Construction management.Ability to read and interpret construction documents effectively.
