Main responsibilities
- Greet and assist visitors, creating a positive first impression.
- Oversee front desk tasks, such as answering and directing phone calls.
- Keep the reception area tidy and presentable.
- Handle administrative work, including mailing, scanning, and copying.
- Arrange meetings, appointments, and travel for staff members.
- Prepare agendas, record meeting minutes, and distribute them as needed.
- Manage incoming and outgoing correspondence efficiently.
- Respond to client and vendor inquiries, providing information or directing them appropriately.
- Assist in creating presentations, reports, and other documents.
- Order and monitor office supplies to ensure availability.
- Coordinate with facility management for office maintenance and repairs.
- Support the planning and organization of office events and meetings.
- Maintain and update company databases and filing systems.
- Safeguard confidential and sensitive information.
- Take on additional tasks and projects as assigned by management.
- Provide support to other administrative staff when needed.
- Keep documentation of processes and procedures current in line with ISO standards.
