As a vital member of our team, the Document Controls Specialist will report directly to the Document Controls Manager. This role is responsible for ensuring effective management of controlled documents and information systems within the Delivery Projects & Construction (DP&C) Group. Your primary focus will be on the development, updating, and implementation of essential procedures and reference manuals.
Key Responsibilities:
· Collaborate with your team to create, revise, and implement processes and procedures, specifically targeting 23 DP&C Project Management Procedures and 15 Reference Manuals.
· Provide comprehensive support to the DP&C Group in Document Controls/Information Management, leading teams to formulate, review, and update Document Controls and Standards in alignment with both industry and company standards to enhance project execution.
· Aid in the establishment and implementation of document control processes, requirements, and change controls for Document Owners, ensuring compliance with internal and external regulations.
· Communicate changes and updates regarding Document Controls to relevant stakeholders.
· Develop and deliver engaging presentations using PowerPoint and other formats to senior management and larger groups as required (both live and via Webcast).
· Regularly maintain and generate reports on the status of procedure work.
· Work alongside managers and document owners to devise communication and change management strategies for newly updated documentation.
· Facilitate procedure review teams effectively.
· Organize project review team meetings and prepare summaries for distribution.
· Enforce document control standards and requirements across all project documentation.
· Oversee the archiving of regulatory documents in a central repository, ensuring all necessary project documentation is duly filed.
· Assess current document control practices, identify gaps, and propose enhancements for improvement.
