Global Traveling Personal Assistant
As the Founder’s personal travel assistant, you will be the driving force that ensures business, travel, and personal engagements are flawlessly coordinated. Approximately 50% of your time will involve traveling internationally, accompanying the principal from door to door, while managing every detail of their itinerary. Your responsibilities will encompass everything from villa bookings and luggage transfers to securing exclusive dining experiences and VIP access. You will also be adept at recalibrating plans on short notice, guaranteeing that travel companions experience seamless support throughout their journeys.
When not on the road, you will serve as the essential household and communications coordinator, overseeing the upkeep of the US residence, managing vendors and staff, and ensuring that essential supplies are stocked. Your proactive approach will include sourcing specialized equipment and executing daily errands, all while anticipating the needs of the Founder to allow them to concentrate on strategic decisions. This role requires exceptional organizational skills, the ability to thrive under pressure, and a service-oriented mindset that transforms complex situations into smooth operations.
Core Responsibilities
1 , Travel & On-Site Coordination (≈ 50 %)
Plan & Escort: Design intricate itineraries and accompany the founder, ensuring smooth transitions at every checkpoint.
Villa & Staff Sourcing: Identify exceptional accommodations, negotiate contracts, and recruit necessary staff such as chefs and drivers.
Luggage & Equipment Coordination: Manage the logistics of transporting personal effects and sensitive medical equipment across various modes of travel, maintaining thorough inventories and providing real-time updates.
Package & Supply Dispatch: Supervise the shipment of essential items, navigating customs and ensuring timely delivery, even to remote locations.
Streamlined Sourcing & Delivery: Anticipate and coordinate the arrival of specialized gear and everyday necessities while managing complex logistics.
Guest Facilitation: Manage logistics and reservations for accompanying friends and business associates, ensuring that every detail is attended to.
