Main Responsibilities

  • Maintain a detailed HR compliance tracker covering all operational and remote employee states. Track minimum wage rates, paid sick and family leave laws, pay transparency rules, labor law posting requirements, and background check restrictions.
  • Monitor regulatory changes across states and provide timely updates and recommendations to the HR Director.
  • Notify tax agencies when new hires trigger employer tax registration or SUI account setup in new states. Keep an accurate log of state coverage and registration status.
  • Keep records current for all state registrations, compliance obligations, and coverage status.
  • Manage all employee lifecycle transactions in the HRIS, including hiring, promotions, organizational changes, and terminations.
  • Conduct monthly audits to verify accuracy, completeness, and relevance of employee data for the active workforce.
  • Generate and analyze compliance, audit, and operational reports as needed for business and regulatory purposes.
  • Design and implement HRIS workflows to streamline and automate processes.
  • Coordinate new feature rollouts, system enhancements, and process improvements within vendor platforms to support growth and efficiency.
  • Maintain and update the OSHA 300 injury and illness log per regulatory requirements.
  • Work with operations on incident reporting, ensuring documentation is timely and accurate.
  • Ensure the OSHA 300A annual summary is posted by February 1 and removed by April 30 each year, and that records are kept according to OSHA guidelines.
  • Ensure all physical locations meet federal and state labor law posting requirements.
  • Maintain accessible electronic notice distribution for remote employees in all relevant states.
  • Track regulatory changes and update postings promptly to maintain compliance.
