Under the guidance of the Office & Facilities Manager, the Administrative and Facilities Coordinator will enhance the operational efficiency of two adjacent warehouse office facilities, ensuring both locations function smoothly, professionally, and without interruptions.
This role is pivotal to the success of our warehouse offices, responsible for maintaining organized systems, coordinating with vendors, managing supplies, and facilitating cross-functional workflows. We seek an individual with a proactive mindset who can anticipate needs, quickly adapt to new systems, exercise sound judgment, and take full ownership of tasks from inception to completion.
The ideal candidate will excel in a dynamic environment, adeptly balancing competing priorities with precision and collaborating effectively with various teams. Strong prioritization skills and sound judgment are crucial to support the two active facilities while upholding high operational standards.
A Day in the Life
Financial & Inventory Management
Invoice Coding & Accuracy: Ensure meticulous review, coding, and submission of incoming invoices for timely processing and appropriate budget allocation.
Uniform Program Ownership: Manage the ordering, tracking, and inventory of company uniforms, maintaining precise records and ensuring availability.
Supply Management: Proactively oversee office and operational supplies across both facilities, anticipating needs and reordering to prevent shortages that could disrupt operations.
Office & Facilities Coordination
Operational Excellence: Ensure clean, organized, and professional office and breakroom environments that align with Clover’s standards.
Vendor Coordination: Schedule and manage third-party vendors and deliveries (e.g., Amazon, UNFI, maintenance providers), ensuring effective communication and smooth execution.
Issue Resolution: Detect operational gaps and take the initiative to resolve issues promptly and effectively.
Multi-Facility Oversight: Prioritize tasks across both facilities to ensure operational excellence and a seamless workflow.
