The Administrative Assistant is essential in supporting managers, employees, and office visitors by performing a diverse range of administrative tasks. This role requires a professional, positive, self-motivated, organized, and detail-oriented individual. Responsibilities may encompass front desk duties, procurement of office supplies, scheduling of meetings and events, data entry, and maintaining organized files.
Key Responsibilities:
- Handle incoming phone calls professionally and efficiently.
- Perform extensive data entry including time cards, field reports, and labels.
- Maintain organization of project-related documentation.
- Develop and update Excel spreadsheets.
- Deliver exceptional customer service to both internal and external stakeholders.
- Assist in planning and coordinating events.
- Schedule project meetings and prepare meeting agendas.
- Manage and track calendars.
- Support purchasing of office supplies.
- Prepare and monitor electrical permits.
- Provide general administrative support to project teams.
- Assist with basic PC tasks including small billings, permits, account reconciliation, data entry, and administrative duties.
- Offer front desk coverage and additional administrative support as required.
- Draft routine correspondence such as letters, memos, and meeting notes.
