What is the Role?
The Administrative Assistant II plays a vital role in supporting the Human Resources team, acting as a confidential assistant and receptionist while handling various office and administrative tasks.
Key Responsibilities:
- Welcome and assist customers and visitors with a warm and professional demeanor.
- Handle incoming calls and manage a multi-line telephone system.
- Provide accurate information or direct callers/visitors to the appropriate personnel.
- Respond to inquiries from customers and employees effectively.
- Keep the Reception Desk organized and presentable.
- Train backup staff for front desk responsibilities.
- Sort and distribute incoming mail efficiently.
- Oversee the company birthday card program.
- Manage and operate the internal USPS postal machine.
- Sell company-sponsored tickets for various events, ensuring secure handling of funds.
- Manage the General HR voicemail and assist with routing calls to relevant HR contacts.
- Maintain calendars, schedules, and coordinate appointments as required.
- Provide clerical and administrative support to the HR Team or other departments, including photocopying, faxing, mailing, and filing.
- Perform additional duties as assigned.
- Adhere to all company policies and standards.
Desired Qualifications:
- High School Diploma or equivalent.
- 1-3 years of clerical or administrative experience.
- Proficient in Microsoft Office Suite.
- Exceptional interpersonal skills with a positive, supportive attitude towards colleagues and the company.
- Ability to work independently with minimal supervision.
- Strong verbal and written communication skills.
- Excellent attention to detail, organizational skills, and problem-solving abilities.
- Capability to maintain a high degree of confidentiality.
- Flexibility and adaptability to changes in the work environment.
What We Offer:
Competitive salary range of $21.39 - $29.00 per hour, dependent on experience.
