Due to an employee resignation, we are seeking a dedicated and detail-oriented Administrative Coordinator to join our team within the Commissioners' Office. This pivotal role involves providing comprehensive administrative support to our three Commissioners, Chief Clerk, and Assistant County Administrator, while coordinating a diverse range of administrative functions within the office. Key Responsibilities include:
- Compiling documents and information to prepare the weekly public meeting agenda based on submitted materials.
- Maintaining accurate electronic recordings of weekly meetings and preparing concise minutes.
- Organizing approved agreements, contracts, and proposals for Commissioner signatures.
- Routing signed documents to the appropriate department contacts for further execution.
- Preparing resolutions, proclamations, and ordinances in the correct format.
- Managing both electronic and paper records/files within the office.
- Screening and routing phone calls, as well as greeting and announcing office visitors.
- Drafting and typing letters, documents, and routine correspondence.
- Maintaining the schedule or calendar for the Board of Commissioners and the Chief Clerk.
- Overseeing office supplies and equipment.
- Traveling as needed and maintaining confidentiality.
