Join our dynamic team as an Assistant Accountant at Chagall Design, where creativity meets precision. In this role, you will support the construction management team by managing accounting functions and providing clerical and administrative assistance. Reporting directly to the Construction Director, your responsibilities will include:
- Opening vendor accounts and ensuring all permanent information in the files is accurate (including GST-QST-RBQ numbers)
- Coding invoices and validating the 3-way match between purchase orders, receipts, and invoices, as well as entering invoices into the accounting system
- Submitting the accounts payable list to administration after confirming cash flow by project
- Verifying vendor tax numbers prior to payment
- Matching invoices with supporting documents and ensuring compliance with company payment authorization policies
- Reviewing and analyzing account statements and following up regularly
- Proactively resolving issues related to assigned vendor accounts
- Organizing documents according to industry practices
- Coordinating with various branches regarding invoices and payments made to suppliers and subcontractors
- Ensuring withholdings and follow-ups on project supplier receipts
- Assisting with initial client account collections
- Supporting project coordination (bidding, receiving, etc.)
- Entering data into the computerized inventory management system
- Demonstrating proactivity and suggesting improvements to work activities and processes
- Providing clerical support to the construction team, primarily the Construction Director
- Participating in the implementation of a new accounting system
- Performing any other general tasks as required by the immediate supervisor.
