Engage in daily operational meetings to collaborate closely with various support departments on administrative and operational matters.
Ensure all Front Office team members arrive on time and are impeccably groomed prior to each shift.
Lead daily briefings to communicate essential information effectively to team members.
Document and communicate all log entries from Duty Managers to ensure that all issues and concerns are addressed promptly.
Oversee the smooth and effective functioning of the Front Office, ensuring compliance with departmental standards and procedures.
Coordinate with the Reservations Department during high occupancy periods, advising on strategies to maintain maximum occupancy rates with optimal yield.
Manage full-house situations and make necessary arrangements to handle overbooking and relocation pledges.
Collaborate with the Finance Department to ensure adherence to credit procedures.
Analyze market trends, review rooming lists, and motivate Front Office staff to upsell rooms to enhance revenue.
Coordinate and supervise large group movements for meetings and conferences, ensuring comprehensive operational plans are in place.
Make courtesy calls to VIPs, long-stay, and corporate guests to gather feedback and proactively address any service lapses.
Handle all guest correspondence and ensure timely follow-ups.
Manage daily room inventory and coordinate with Housekeeping to guarantee rooms are prepared according to guest arrival times. Welcome guests upon arrival, register them, and issue room keys following departmental standards.
Ensure consistent delivery of benefits to members, with special recognition and service for repeat guests and VIPs, including preparing welcome cards and amenities prior to arrival.
Work closely with relevant departments to meet guest requests and needs.
Maintain and update the repeat guest history system.
Promote Inter-Hotel sales and in-house facilities per departmental standards to maximize revenue.
Address guest complaints and comments with tact and efficiency.
Manage guest mail, messages, and phone inquiries.
Maintain the privacy and confidentiality of all guests by ensuring no details are disclosed.
Stay vigilant regarding in-house credit matters and take action on any discrepancies.
