The Assistant Property Manager plays a crucial role in supporting Property Manager(s) in overseeing all facets of a commercial, industrial, or retail property or portfolio. This includes marketing strategies, operational management, and financial oversight.
Key Responsibilities:
- Provide services in accordance with policies, procedures, regulations, and contractual obligations.
- Review and authorize vendor invoice payments, ensuring compliance with management agreements and LPC policies.
- Assist Property Manager(s) in compiling and delivering precise monthly reports and budget documentation as per client specifications.
- Support the preparation of tenant rent and Common Area Maintenance (CAM) reconciliations, as well as Escalation (OpX) recovery charges.
- Collaborate closely with lease administration and accounting on all lease-related activities, encompassing lease setup, adjustments, and reporting.
- Facilitate tenant move-ins and move-outs, conducting walkthroughs with Property Manager(s) and maintaining spaces in 'tour ready' condition.
- Address tenant inquiries, ensuring prompt resolution of issues by administrative and technical staff.
- Manage contract documentation, purchase orders, and procurement activities for the property.
- Assist in the bidding process for property services.
- Verify tenant billings for accuracy and review aging reports along with collection efforts.
- Conduct routine property inspections and recommend necessary alterations or maintenance.
- Contribute to the development and execution of emergency response plans, ensuring preparedness for adverse events.
- Engage proactively to enhance team performance through constructive suggestions for system and process improvements.
- Assist with client communications by preparing and delivering comprehensive reports.
- Perform additional duties as assigned.
