Join our dynamic team at Accor Hotels as an Assistant Purchasing Executive, where you will play a vital role in overseeing the seamless daily purchasing of Food & Beverage (F&B) and General Supplies throughout the hotel. This position involves sourcing requests while ensuring competitive pricing and collaborating with the right vendors.
Key Responsibilities
Your primary responsibilities will include, but are not limited to:
- Manage daily purchasing functions by processing the Market List received from the Executive Chef.
- Ensure timely creation of Purchase Orders for F&B, Stewarding, Housekeeping, and other General Supplies based on approved requisitions.
- Reconcile Purchase Orders and invoices for accuracy in pricing and quantities with suppliers.
- Follow up on overdue Purchase Orders and manage cancellations when necessary.
- Maintain and file all documentation and quotations according to company policies.
- Review pricing and processes for all purchases across the hotel.
- Collaborate with departments to forecast stock requirements and develop strategies to avoid stock shortages.
- Update Article Codes, Price Quotes, and vendor details in the system as necessary.
- Respond promptly to feedback and complaints from end users, suppliers, and guests regarding stock issues.
- Request quotations and samples for evaluation purposes.
- Assist in RFQ and RFP exercises for all supply categories.
- Participate in report analysis for new workflows and assist in contracting processes.
- Ensure all Purchasing forms and documents are accurately completed and filed for audit purposes.
- Source suppliers and obtain competitive quotations without compromising quality standards.
- Negotiate with suppliers to secure the best possible prices.
- Monitor supplier deliveries and address any stock shortages.
Price Comparison Summary
- Compile Price Summary and make award recommendations for various work streams.
- Prepare and send out Letters of Award post-approval from the Assistant Director of Procurement, Executive Chef, and Director of Finance & Business Support.
