Role Overview:
The Benefits Specialist position, based in Santa Monica, CA, reports to the Senior Director of Human Resources and is an integral part of the US HR Team. This role is primarily responsible for managing the third-party administration of our US benefits programs, including the 401K plan and payroll requirements, ensuring seamless administration, compliance, and effective communication with employees.
Key Responsibilities:
- Manage the daily operations of the 401(k) retirement plan, including employee eligibility, enrollments, contribution updates, compliance testing, audits, and conducting true-ups, as well as coordinating committee meetings bi-annually with plan advisors and recordkeepers.
- Collaborate closely with our third-party benefits administrator to oversee benefits for approximately 450 US employees.
- Approve qualifying events, liaise between the LOA administrator and management, complete employment verifications, and manage manual benefits processes.
- Support the annual open enrollment process, vendor renewals, and employee communications.
- Review and reconcile monthly benefit invoices from the third-party administrator to ensure accurate charges and timely payments.
- Maintain benefits data across HRIS, vendor systems, and payroll for accuracy and alignment.
Payroll Management Duties:
- Maintain payroll records by securely storing all payroll reports for each cycle, including quarter-end, year-end, and generated W-2 documents.
- Distribute annual paper W-2s.
- Conduct benefit and payroll orientation for new hires, ensuring employees understand their benefit options, timekeeping processes, vacation policies, and payroll cycles.
Timekeeping Responsibilities:
- Collect timecard approvals from employees and managers.
- Prompt managers to approve vacation requests in eTime.
- Encourage employees to complete and submit biweekly timecards.
- Collaborate with our HR Shared Services team to ensure accurate and timely processing of timecards.
