The Contract Administration Officer plays a crucial role in managing and overseeing the contractual obligations of Rentokil Boecker. This position involves the meticulous review and timely updating of existing contracts and processing jobs, sales, and contracts within the iCabs system.
Key Responsibilities:
- Conduct daily reviews and validations of new contract documentation and approvals.
- Efficiently manage job processing and product sales each day.
- Ensure that all new and existing contracts align with Rentokil Boecker®’s internal terms and conditions.
- Oversee management approvals for premises additions and price increases while processing relevant data in iCabs.
- Handle contract renewals as per requests received.
- Maintain an up-to-date dashboard to reflect all current contract statuses in a timely manner.
- Perform daily reconciliations between iCabs and the dashboard.
- Support the finance team in preparing Monthly Management Accounts by providing month-end closing reports generated from iCabs.
- Coordinate with service teams regarding the status of processed jobs and product sales.
- Assist sales, service, and credit control teams as required.
- Manage daily cash collections and deposits in banks.
- Prepare invoices in Arabic, conduct invoicing runs in iCabs, distribute invoices to collection teams, and update the feeder file daily.
- Ensure accuracy in all status changes, including terminations, deletions, and suspensions within iCabs.
- Process all requests for terminations, deletions, and price reductions in iCabs, updating alert sheets for management review and approval.
- Update credit sheets and verify compliance of all received requests with state of service (SOS) reports.
- Weekly submission of credit notes for missed services to management for approval before forwarding to concerned parties.
- Assist the AR team in adjusting credit notes against original invoices in Navision on a monthly basis.
