Role Title: CRM Specialist (HubSpot Optimization & Workflow Automation)
Location: Fully Remote in South Africa
Type: Long-term Contractor
Hours: Monday to Friday (12am – 8am SAST)
Salary: R35,000 - R50,000 per month, negotiable based on experience
Reporting to: Director / Executive Leadership Team

Role Overview: As the CRM Specialist, you will spearhead the optimization, maintenance, and strategic advancement of our HubSpot CRM platform. Your mission will be to ensure that the system effectively supports sales, operations, broker workflows, marketing, and data integrity. You will play a crucial role in driving automation, enhancing process efficiency, improving reporting, and enabling scalable business growth.
Key Responsibilities:
- Evaluate the current HubSpot implementation, identifying gaps and opportunities for enhancement in data structure, custom objects, pipelines, workflows, email templates, and reporting dashboards.
- Design and implement innovative workflows, automation rules, custom objects, and reports tailored to support the broker team, administrative support team, and executive leadership.
- Collaborate closely with marketing, sales, operations, and recruitment teams to translate business requirements into effective CRM solutions.
- Ensure data integrity by implementing cleaning protocols, managing duplication rules, and maintaining robust segmentation.
- Develop comprehensive training materials and conduct training sessions for internal users to promote best practices for HubSpot utilization.
- Support user adoption and reinforce adherence to established processes.
- Establish and monitor key performance dashboards covering leads, applications, closing rates, outstanding documentation, time-to-convert, and referral partner activity.
- Provide insightful analysis and recommendations to leadership.
- Stay updated with HubSpot product updates, integrations, and third-party tools, recommending and coordinating new tool integrations to gain efficiencies.
