Role Overview
In this role, you will deliver a professional, welcoming, and efficient front-of-house experience across our offices, ensuring a consistently superior customer and colleague interaction. As the initial point of contact for visitors and callers, you will uphold the organization’s reputation by maintaining high standards of hospitality, safety, and service.
You will also facilitate the smooth daily operations of our offices through customer service, reception duties, mail handling, transaction processing, and various administrative tasks. This position is crucial for sustaining operational excellence, enhancing office functionality, and providing support to colleagues in a dynamic environment.
Key Responsibilities
- Manage front-of-house operations, reception, mailroom, customer service, and administrative support, including switchboard duties across multiple DC Thomson locations.
- Assist internal customers (colleagues, teams, visitors) and external stakeholders (partners, suppliers, contractors, members of the public).
Collaboration & Interfaces
- Internal: Work closely with the Office Manager, Facilities, Security, Editorial, Events, IT Support, Commercial, and Finance for transaction processing.
- External: Engage with visitors, contractors, couriers/logistics providers, catering suppliers, and facilities vendors.
Decision-Making Authority
- Owns: Daily reception operations, visitor management, switchboard accuracy, mail handling, meeting room setups, transaction logging, and maintaining front-of-house standards.
- Contributes to: Security vetting, health and safety arrangements, supplier communication, and event planning.
- Escalates: Any security concerns, health and safety incidents, building issues, IT-related service disruptions, or customer-impacting service interruptions.
