About the Role:
Join our dynamic team as an Appointment Setter, where you'll play a crucial role in supporting our sales teams by scheduling high-quality meetings with prospective clients. Your responsibilities will involve engaging potential leads via phone, email, and LinkedIn, confirming their interest, and coordinating schedules between prospects and sales representatives. As the driving force behind our sales pipeline, you'll ensure a steady flow of sales-ready appointments that propel opportunities forward.
Key Responsibilities:
Lead Engagement:
- Proactively reach out to prospects through calls, emails, and messages from lead lists or inbound interest queues.
- Confirm prospect interest and availability prior to scheduling meetings.
- Assess leads based on fundamental criteria such as industry, role, need, and budget alignment.
Scheduling & Coordination:
- Efficiently schedule appointments between prospects and sales representatives using tools like Calendly, HubSpot Meetings, or Google/Outlook calendars.
- Navigate time zone differences to ensure accurate scheduling.
- Send meeting confirmations, reminders, and manage rescheduling as needed.
CRM & Data Management:
- Document all activities in Salesforce, HubSpot, or Zoho CRM.
- Update lead statuses and notes with precise details.
- Maintain organized, up-to-date records of appointments and outcomes.
Collaboration:
- Work closely with Sales Development Representatives (SDRs), Business Development Representatives (BDRs), and Account Executives to align on target prospects.
- Provide comprehensive handoffs with context on prospect needs.
- Share insights from calls and emails to enhance outreach strategies.
Performance Tracking:
- Monitor key metrics such as calls made, emails sent, appointments set, and show rates.
- Identify challenges (e.g., low show rates) and propose actionable solutions.

- Exceptional communicator, comfortable engaging via phone, email, and chat.
- Highly organized and detail-oriented, ensuring smooth scheduling without conflicts.
- Resilient and persistent, able to navigate rejection while maintaining motivation.
- Adept at balancing high volume outreach with a professional demeanor.
Minimum Required Experience & Skills:
- 1–2 years of experience in sales support, inside sales, or customer-facing roles.
- Familiarity with CRMs (Salesforce, HubSpot, Zoho) and scheduling tools (Calendly, Chili Piper).
- Excellent written and verbal communication skills.
- Capable of managing multiple calendars and time zones effectively.
Preferred Experience & Skills:
- Experience in supporting SDR/BDR teams within high-volume environments.
