Your Role
As the Executive Assistant to the CEO, you will serve as a vital support system and operational backbone at our San Francisco headquarters. This hybrid position combines responsibilities as an Executive Assistant, Office Lead, and Recruiting Coordinator: safeguarding the CEO's schedule, ensuring smooth office operations, and overseeing recruitment processes to facilitate prompt and effective hiring. High judgment, discretion, and a proactive approach are essential.
Key Responsibilities
CEO Support
- Manage complex calendars, travel arrangements, and meeting preparations across different time zones while anticipating conflicts and prioritizing tasks.
- Draft briefs, agendas, and follow-up communications; monitor action items until resolution.
- Triage the CEO's inbox, write clear communications, and coordinate crucial interactions with investors, board members, and key customers.
- Assist with confidential special projects such as fundraising materials, customer visits, and vendor negotiations.
Office Operations Management
- Oversee day-to-day office operations: manage access and badges, supplies, meeting spaces, vendor relationships, and shipping/receiving logistics.
- Plan and execute onsite events, executive offsites, customer walkthroughs, and all-hands meetings.
- Supervise facilities vendors (IT, cleaning, catering, and safety services) and monitor budget adherence.
Recruitment Coordination
- Collaborate with hiring managers to streamline the recruitment funnel: schedule interviews, arrange candidate travel, and host onsite visits.
- Maintain excellent candidate communication and provide a high-touch experience with prompt responses.
- Facilitate interview panels, take notes as necessary, and ensure timely decision-making within 24–48 hours.
