As a Groups and Events Planning Executive, you will play a crucial role in orchestrating all facets of group bookings and events, ensuring adherence to brand standards from the moment of contract handover through to the successful conclusion of the event. Your role will involve close collaboration with clients, internal teams, and external vendors to ensure a seamless planning process and a memorable experience for all guests. You will report directly to the Group & Events Planning Supervisor and the Director of Group and Events.
Key Responsibilities
- Meet and exceed departmental objectives and revenue targets related to groups and events as set by the Director of Groups & Events.
- Act as the primary liaison for clients throughout the entire event process, from contract handover to post-event follow-up.
- Oversee all logistical and operational aspects of group and event stays.
- Prepare and circulate event documentation, including Banquet Event Orders (BEOs) and group resumes, in accordance with brand standards.
- Collaborate with various hotel departments to ensure flawless event execution.
- Conduct comprehensive pre-event planning meetings with clients and internal teams.
- Ensure precise billing, invoicing, and follow-up with clients post-event.
- Provide on-site event coordination as necessary, promptly addressing client needs.
Qualifications
- Bachelor’s degree in hospitality management, business, or a related discipline.
- At least 2 years of experience in a similar capacity within the hospitality sector.
- Outstanding organizational and multitasking abilities, with a sharp attention to detail.
- Exceptional communication and interpersonal skills, capable of fostering relationships with clients and colleagues.
- Proficiency in Microsoft Office and hotel management software; familiarity with Delphi, OnQ, and Opera is advantageous.
- Fluent in Greek and English, with additional languages considered a plus.
