This position will play a pivotal role in supporting our office operations team through meticulous administrative contributions, particularly during customer visits, meetings, and conferences. Additionally, this position will extend support to various departments by handling diverse administrative tasks.
Responsibilities
Office Administration:
- Maintain a tidy and visually appealing office environment.
- Manage office supplies, stationery, and equipment, ensuring timely replenishment.
- Coordinate necessary improvements and repairs with both internal and external teams.
- Arrange refreshments and catering for meetings and visitor engagements.
- Ensure all office equipment is functional by performing preventive maintenance and coordinating repairs with internal teams.
- Oversee corporate contracts with service providers, including negotiation, renewal, and review of maintenance and catering services.
Visitor Management:
- Take comprehensive ownership of customer visits, ensuring a seamless experience from arrival to departure; liaise with internal and external stakeholders as necessary.
- Welcome and guide visitors upon their arrival at our office.
- Maintain the presentation of the office, facilities, and team.
- Personally greet and assist visitors, delivering a positive and memorable experience.
- Remain attentive and accessible throughout the entire visit.
Administrative Support:
- Process and coordinate documents for completion, signatures, and filing in accordance with established procedures.
- Ensure documents and communications meet the highest standards of appearance and content.
- Follow up, update, and report on corporate and operational projects.
- Update electronic internet and intranet systems with relevant news and information.
- Conduct research as needed and draft correspondence and reports.
- Facilitate employee requests for office supplies, business cards, and mobile phones.
- Manage employee enrollment in corporate systems to ensure access.
Operations Team Support:
- Coordinate training sessions with vendors and customers, both internally and for projects.
- Verify project completeness and close projects in our internal systems as per agreements.
