Job Title: Lead Mailroom Associate
Reports To: The Lead Mailroom Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview:
The Lead Mailroom Associate is crucial in overseeing mail and shipping/receiving services. This role includes managing the processing of inbound and outbound mail, as well as the timely distribution and delivery of mail and shipping of products and supplies to support the onsite business service center. This position leads the client services operations with supervision.
In this role, you will be dedicated to providing top-tier service to all clients and SPS employees while upholding the professional image of the company through prompt, courteous, and efficient service.
Duties and Responsibilities:
- Deliver exceptional customer service to all employees across various communication channels.
- Receive and sort inbound mail/packages, ensuring accurate logging in the chain of custody software.
- Operate mail processing equipment including postage meters, photocopy machines, and mail folding/inserting machines.
- Maintain comprehensive records of received and sent mail, including mailing dates and other pertinent information.
- Manage outgoing mail/package transactions effectively.
- Carry out duties related to shipping and receiving materials.
- Notify employees upon the arrival of inbound deliveries.
- Serve as the primary point of contact for company personnel regarding mail/package inquiries.
- Submit work orders for specific requests.
- Ensure the Business Service Center remains tidy and organized.
- Monitor office supply levels and order replacements as necessary.
- Seek additional tasks proactively during downtime.
- Foster professional relationships with clients and team members.
- Maintain professionalism and composure in all interactions.
- Provide training and guidance to backup personnel on policies and procedures.
- Assess the need for additional support when handling sensitive inquiries.
- Offer outstanding customer service to clients.
- Provide reception or concierge services as required.
- Delegate tasks to team members effectively.
- Ensure timely completion of all assigned duties.
