Summary: As a Legal Document Specialist at Barnes & Thornburg LLP, you will play a vital role in providing exceptional document support to attorneys, paralegals, and various administrative personnel within our esteemed firm. Your primary responsibilities will involve the creation, formatting, and meticulous revision of a diverse array of legal documents, adhering to our firm's standards, style guidelines, and established procedures. You will ensure that all work products are not only accurate and consistent but also delivered promptly while maintaining the utmost confidentiality regarding client and firm information.
Key Responsibilities:
Exhibit advanced proficiency in essential software applications, including but not limited to Microsoft Word, Outlook, Excel, iManage, Litera, AccuRoute, CCC Macros, PowerPoint, Adobe PDF, Visio, and other technologies supported by the firm.
Craft, edit, format, and proofread complex documents, spreadsheets, and presentations with exceptional precision. Construct and update Tables of Contents and Tables of Authorities while applying advanced formatting elements such as headers/footers, section breaks, styles, and numbering schemes.
Convert PDF documents to Word, ensuring appropriate styling and formatting for accuracy, consistency, and user-friendliness.
Utilize Adobe Acrobat for redactions, creation of fillable forms, application of markups, and management of document versions.
Conduct document comparisons across various file types—including Word, PDF, PowerPoint, and Excel—using approved comparison tools.
Leverage advanced Word functionalities such as styles, numbering assistants, DocX Tools, cross-references, indexes, and mail merge to ensure the proper structuring of legal documents.
Incorporate correct legal formatting and terminology while preparing, editing, or revising work products.
Transcribe dictation and prepare various written materials, including correspondence and memos, as requested.
Manage workflow effectively, prioritizing assignments while coordinating with other shared services to meet multiple deadlines.
Operate independently with minimal supervision, exercising sound judgment, anticipating work needs, and maintaining productivity amidst shifting priorities or competing deadlines.
Collaborate efficiently with administrative departments—including training, legal support, IT/help desk, and others—to resolve issues and facilitate timely completion of work.
Perform additional duties as assigned.
