Position Summary
The Office Services Associate plays a vital role in enhancing the daily back-office functions for our clients and teams. Responsibilities include, but are not limited to, reprographics (copying) and mail services across both physical and digital landscapes. This position also supports various services in hospitality, facilities management, audio/visual, reception, and other necessary service lines.
Key Responsibilities
- *Utilize appropriate logs for all office services tasks.
- *Complete job tickets accurately prior to commencing work.
- *Execute office services tasks, particularly in reprographics, mail, and intake functions, following established protocols.
- *Adhere to the proper sequence for executing jobs.
- *Communicate effectively with supervisors or clients regarding job or deadline concerns.
- *Meet contractual deadlines for receiving, completing, and delivering all assignments.
- *Diagnose basic equipment issues.
- Lift up to 50 lbs. regularly.
- Prioritize workflow efficiently.
- Conduct Quality Assurance checks on personal and peer outputs.
- Load machines with various supplies including paper and toner.
- Manage phone calls, emails, and service requests as necessary.
- Engage with clients in-person, via phone, or electronically.
- Comply with Williams Lea policies alongside client site regulations.
- Utilize resources efficiently to minimize costs.
Working Conditions
- This position operates at locations with 24/7 operations; individual shift requirements will differ by site.
- Willingness to work overtime as required.
- Work will be conducted in a professional office environment.
- Professional attire is mandatory.
- Potential hazards include handling office machines (copiers, faxes, scanners, bindery equipment, paper cutters) and cleaning materials.
- Must be able to stand for extended periods.
