As an Office Specialist at Cook's Pest Control, Inc., you will play a crucial role in managing daily office operations while delivering exceptional customer service. Your responsibilities will include a variety of clerical tasks, reception duties, and supporting our HR and Accounting departments.
Customer Service Responsibilities:
- Handle incoming customer calls and direct them to the relevant departments.
- Conduct initial new customer intakes, entering essential information and connecting new customers with the appropriate sales representatives.
- Address customer inquiries regarding their accounts and billing.
- Contact customers about invalid payments and funding sources.
Accounting Duties:
- Process received customer payments and ensure daily bank deposits are completed.
- Manage vendor invoices, facilitating payments through credit cards or submitting requests to the Corporate Office.
- Monitor past due accounts and initiate contact for collections, forwarding accounts to collection agencies when necessary.
- Handle account write-offs and terminations as needed.
- Collaborate with the District Manager to complete tasks outlined in the Daily Accounting Checklist.
- Review payroll and make necessary adjustments.
- Maintain petty cash records.
Human Resources Functions:
- Oversee the hiring and onboarding processes, including background checks, scheduling physical and drug screenings, entering employee data into the HRIS, and completing new hire documentation.
- Assist employees with general HR and benefits inquiries.
- Process monthly employee changes, including pay rate and status alterations.
- Facilitate the termination process for departing employees.
- Manage Workers’ Compensation and Auto Insurance claims.
Office Management Tasks:
- Order office and warehouse supplies on a monthly basis.
- Coordinate the ordering of business cards.
