Join our dynamic team at darwin-ai as a proactive and detail-oriented Event & Webinar Coordinator. In this part-time role, you will play a pivotal role in bringing our brand to life through engaging online and in-person experiences.
This position is ideal for a marketing or communications student who possesses over two years of experience in startup environments and has a fervor for crafting impactful events. You will work collaboratively across teams, travel for significant events, and thrive in a fast-paced, high-impact atmosphere.
Key Responsibilities
- Plan and execute in-person events in collaboration with partners across Mexico, Brazil, Colombia, and Argentina, managing everything from GANTT planning to logistics, vendor coordination, and on-site execution.
- Organize monthly webinars for clients, prospects, and partners, overseeing the entire process from agenda setting to promotion.
- Handle all event logistics, including venue scouting, vendor negotiations, travel arrangements, timelines, and budget tracking.
- During on-site events, you may act as the MC, manage live communications, and ensure smooth operations.
- Collaborate with Sales and Marketing teams to design event branding, pitch speakers, and create engaging pre- and post-event content.
- Align each event with our business goals, injecting energy, structure, and innovative ideas.
- Serve as the primary contact during events to ensure a seamless experience for all attendees and partners.
- Conduct post-event evaluations to assess successes and identify areas for improvement.
- Build and maintain strong relationships with partners, speakers, vendors, and attendees.
