Key Responsibilities:
- Coordinate appointments, manage calendars, and assist with travel bookings.
- Organize and facilitate meetings, including drafting minutes and agendas.
- Oversee site badging processes and guide visitors to their designated areas.
- Respond to inquiries and provide information as needed.
- Process routine administrative tasks including accounts payable, expense reports, and personnel transactions.
- Maintain project logs, including vendor insurance and daily reports.
- Compile and analyze data for weekly, monthly, and quarterly reports.
- Assist in client and contract setups.
- Manage filing systems, both paper and electronic, and distribute correspondence as required.
- Support project document controls and prepare shipments as necessary.
- Maintain accurate records and create detailed charts, graphs, and spreadsheets.
- Draft and proofread correspondence, and help prepare presentations.
- Collaborate with program and project management, clients, and contractors.
- Engage with other administrative staff to support various teams.
- Monitor inventory levels, anticipate supply needs, and manage orders.
- Ensure equipment functionality through regular maintenance and repairs.
- Coordinate catering and events for employees.
- Adhere to health and safety guidelines to ensure a safe workplace.
- Perform additional administrative duties as assigned.
