Join a dynamic and innovative UK electrical project team as a Project Administrator. In this pivotal role, you will oversee multi-site installations, coordinate essential logistics, support invoicing processes, and ensure meticulous project record-keeping to facilitate smooth operations and timely delivery across complex, multi-country projects.
Key Responsibilities:
- Provide comprehensive administrative and coordination support for a large-scale electrical installation project spanning 30 countries across Europe.
- Coordinate and track timesheets for technicians and contractors on-site, ensuring accuracy and timely submissions.
- Maintain up-to-date records of installation progress, completed works, and project deliverables.
- Monitor equipment deliveries and verify that materials are received on-site in accordance with project timelines.
- Liaise with third-party logistics providers to track shipments, monitor equipment movements, and address delivery or stock issues promptly.
- Maintain inventory and equipment tracking registers to guarantee site readiness and continuity of installations.
- Assist with commercial administration tasks, including the preparation of project invoices, validation of billable works, and support with financial documentation.
- Utilize Xero or similar accounting software to support invoicing and financial tracking processes.
- Implement structured document control and maintain project records using SharePoint and internal project management systems.
- Provide support for Project Managers in reporting and tracking projects across multiple European locations.
- Ensure that all project documentation, delivery confirmations, and installation records are complete, accurate, and ready for audits.
- Collaborate effectively with internal teams, subcontractors, logistics partners, and suppliers to ensure seamless execution of projects.
- Identify and escalate scheduling, delivery, or administrative risks early to mitigate potential issues.
- Perform additional duties specific to the role as required.
