Property Administrator - South East Region
Location: Waterford
Contract: Full Time, Permanent
The primary objective of this role is to enhance the operational efficiency of the housing department and facilitate effective communication between teams.
Key Responsibilities:
Assist the Property Team in actively overseeing and managing tenant rent accounts, ensuring all details are current and resolving any issues swiftly.
Engage with tenants via phone or written correspondence regarding their rent accounts, keeping them updated on arrears, due payments, or necessary actions.
Support staff in the precise documentation and ongoing management of Rent Arrears Agreements.
Prepare and maintain spreadsheets for payments received as necessary, ensuring meticulous financial tracking.
Execute bank lodgements as required, adhering to organizational financial protocols.
Receive and assess maintenance requests from tenants, dispatching contractors for repairs that fall under the FHA’s responsibilities.
Log all maintenance requests into the Affinity system with clear and accurate details.
Generate invoices for payment, ensuring compliance with internal financial guidelines.
Monitor completed repairs, verify satisfactory completion, and update Affinity records accordingly.
Assist the team in tracking vacant properties, ensuring refurbishments are completed timely, and aiding in reporting to the Property Operations Manager.
Handle incoming tenant queries by phone, ensure proper documentation filing, schedule appointments as necessary, and provide general administrative support to the Property Team.
Adhere to Focus Ireland policies, participate in supervision and meetings, engage in required training, follow Health & Safety protocols, represent Focus Ireland positively, and undertake additional reasonable duties as required.
