Your primary responsibility will be to review invoices from repair shops and vendors, ensuring they meet industry standards and adhere to the Association of American Railroads (AAR) billing guidelines. As part of our elite Logistics Managed Services team, you will contribute to our mission of providing unparalleled support and managed services for our digital platform products. This dynamic role involves engaging with customers daily to address their challenges and working closely with stakeholders to enhance customer operations. Reporting directly to the Director of Services, you will be instrumental in managing project schedules, mitigating risks, and facilitating communication between all internal and external parties.
Your Daily Responsibilities Will Include:
- Uploading CROP and CHOP files from Railinc and other relevant industry files.
- Auditing incoming railcar repair invoices to ensure compliance with AAR rules and accuracy.
- Reviewing repair estimates to confirm the necessity and proper billing of repairs.
- Collaborating with internal operations and external repair shops to swiftly resolve billing discrepancies.
- Handling rejection and exception correspondence, including issuing counter-billing authority and rebilling for lessee-responsible repairs.
- Maintaining organized and accurate billing records for all railcar repairs.
- Generating insightful reports on billing processes, performance metrics, and cost-saving initiatives.
- Staying informed about the latest AAR Field Manual and Office Manual Interchange rules and industry best practices.
- Working closely with accounting and fleet management to streamline billing processes.
- Assisting in the establishment of Letters of Authorization (LoA) for managing customer car repairs.
- Providing support for customers regarding Ad Valorem tax preparation, OT-57 processing, DDCT, and destroyed cars.
