Your Responsibilities:
In the position of Senior Intake Coordinator, you will serve as the vital link between the daily operations and the Customer Care Manager. You will ensure that processes, scheduling, and collaboration within Customer Care run efficiently. You will maintain oversight, coordinate tasks, and ensure that clients, colleagues, and partners receive careful, warm, and professional guidance throughout the intake process.
Collaboration is key, as you will work closely with your fellow Senior Intake Coordinator at Trubendorffer, while also handling your specific area of responsibility. Continuous communication is essential to maintain continuity, quality, and progress throughout the entire chain.
This role does not involve hierarchical authority but carries a clear functional guiding responsibility. You will direct the daily workflow, prioritize tasks, support colleagues with substantive guidance, and ensure structure and alignment within the team.
Your Role in Practice:
This position consists of approximately 75% coordination and 25% execution tasks. The emphasis will be on coordinating, structuring, and monitoring multiple planning streams. You will keep track of intake, progress, capacity, and processing times, making timely adjustments as necessary.
Your Additional Responsibilities Include:
- Functionally directing and supporting colleagues in daily operations;
- Identifying bottlenecks in processes, capacity, and planning and translating them into improvement proposals;
- Monitoring the quality of service delivery and compliance with procedures and regulations;
- Collecting and analyzing information regarding production and departmental objectives and preparing management reports;
- Acting as a subject matter expert and coach for colleagues;
- Maintaining contacts with internal and external partners;
- Guiding potential new colleagues through the application and onboarding process;
- Participating in and leading projects within Customer Care;
