- Prepare and manage internal and external communications, including detailed project documentation.
- Collaborate with internal and external team members to gather and compile project updates, deliverables, and weekly summaries for status emails.
- Draft project team memos, presentations, and comprehensive reports.
- Take accurate meeting minutes and transcribe notes from project discussions.
- Assist project leaders in evaluating project and program performance.
- Contribute to the development of efficient processes while ensuring critical workflows are maintained.
- Manage weekly updates of project financial reports and oversee the evaluation and control of project budgets.
- Monitor project plans and the flow of processes across various aspects of programs, providing needed research and feedback.
- Create complex spreadsheets and perform database work using various tools.
- Maintain project records, including key data and financial information.
- Keep logs of correspondence, contracts, and other essential documents.
- Work closely with Project Managers to secure approvals for scope changes and process payables for services rendered.
- Ensure project files are maintained according to company standards.
- May assist with marketing-related tasks, including proposal presentations upon request.
- Support the project proposal and contracting efforts.
- Manage project team schedules and facilitate meeting organization and planning.
- Coordinate and arrange onsite client meetings as needed.
- Assist in generating reports.
- Collaborate with the Project Controller and Accounting for leadership engagement and reporting.
- Assist in managing project staffing data in Deltek Vision Project/Resource Planning.
- Help ensure projects remain within budget.
- May supervise junior Project Administrators or Administrative Assistants.
- Perform additional duties as assigned.
