As the Administrative Assistant for Travel Management, you will play a pivotal role in orchestrating and overseeing all travel-related activities for our employees within the organization. This position is designed for individuals who excel in efficient travel planning and coordination, ensuring adherence to budgetary constraints, company policies, and seamless communication with employees, management, and external travel partners.
KEY RESPONSIBILITIES
Travel Coordination & Management
- Oversee comprehensive travel arrangements, including flight bookings, hotel accommodations, transportation, and visa support.
- Facilitate both domestic and international travel plans for employees and management.
- Ensure all travel arrangements adhere to company travel policies and budgetary guidelines.
- Effectively manage last-minute changes, cancellations, and emergency travel needs.
Vendor & Agency Coordination
- Act as the main point of contact with approved travel agencies, airlines, hotels, and service providers.
- Negotiate and manage preferred rates and travel packages as necessary.
- Monitor service quality and resolve any travel-related issues with vendors.
Documentation & Compliance
- Maintain meticulous travel records, itineraries, approvals, and expense documentation.
- Assist with visa processing, travel insurance, and compliance with government travel regulations.
- Ensure adherence to internal policies and external travel regulations.
Cost Control & Reporting
- Track travel expenses and assist in reconciliation with the Finance department.
- Prepare detailed travel cost reports and summaries for management review.
- Identify opportunities for cost savings and support travel optimization initiatives.
Administrative Support
- Provide general administrative support related to travel and logistics.
- Address employee travel inquiries and offer guidance on travel procedures.
- Collaborate with HR, Finance, and Operations teams as required.
