Summary:

As a Legal Administrative Assistant, you will provide vital secretarial support to attorneys within our organization, adhering to established policies and procedures. You will be responsible for maintaining positive interactions with clients, attorneys, and staff while ensuring the confidentiality of sensitive client matters.

Key Responsibilities:

  • Demonstrates proficiency in various computer software applications, including Word, Outlook, iManage, Excel, PowerPoint, Adobe PDF, and ChromeRiver, among others essential to the firm.

  • Drafts legal documents from written and verbal instructions, ensuring proper formatting for pleadings and discovery materials.

  • Prepares and edits correspondence addressed to courts, clerks, and opposing counsel as necessary.

  • Ensures documents, spreadsheets, and presentations are meticulously created, formatted, and proofread, maintaining the highest accuracy and attention to detail.

  • Knowledgeable in the e-filing process and capable of navigating local court rules across multiple jurisdictions.

  • Creates and organizes electronic case files, facilitating efficient access for attorneys while ensuring proper circulation of file-stamped copies of filings.

  • Compiles documents and organizes binders for depositions, hearings, and trials.

  • Manages attorney calendars, setting up reminders for case deadlines and coordinating essential tasks associated with scheduled events.

  • Coordinates meetings and travel arrangements based on attorney schedules.

  • Handles billing processes, including proofing billing sheets and reviewing invoices for accuracy.

  • Processes new business requests, including opening new matters, reviewing conflict checks, and closing matters as necessary.

  • Effectively manages the workflow of tasks and projects, prioritizing work to meet deadlines and collaborating with shared services.

  • Exhibits the ability to work independently, prioritizing tasks and managing competing deadlines with minimal supervision.

  • Collaborates with administrative support staff to optimize operational efficiencies.
