The Operations Administrator plays a crucial role within our Operations team. This position allows for independent work while being an integral part of the team. The successful candidate will manage various projects and responsibilities, including handling inbound and outbound calls, coordinating repairs, and fostering customer relationships to ensure satisfaction post-service. This role demands a commitment to accuracy, timeliness, and responsiveness, along with high levels of diplomacy, sound judgment, and discretion when interacting with customers and other departments.
Key Responsibilities:
- Invoice Management:
- Accurately create and process daily invoices in a timely manner.
- Assist with end-of-month billing processes, which include:
- Matching invoices with respective jobs.
- Verifying pricing and modifications for accuracy.
- Entering revisions as provided by the sales team.
- Distributing finalized invoices to customers.
- Contract Management:
- Oversee the contract lifecycle from creation to completion using the Point of Rental System.
- Follow up on job modifications and gather necessary information for contract updates.
- Collaboration and Support:
- Collaborate closely with the sales team to resolve any job and invoicing inquiries.
- Maintain effective and timely communication regarding job details, modifications, and follow-ups.
- Customer Service:
- Deliver outstanding customer service by managing phone calls and directing inquiries to the appropriate departments.
- Handle customer inquiries with professionalism and efficiency.
- Administrative Support:
- Organize and maintain filing systems for contracts, invoices, and related documents.
- Assist with general office tasks to support overall operations as needed.
