Highly organized and proactive, with the ability to anticipate needs before they arise. Proficient in spreadsheet applications and tools such as Airtable or Notion, with a willingness to learn new technologies rapidly. Excellent verbal and written communication skills across various platforms (email, Zoom, Slack). Strong analytical skills with a focus on improving operational efficiencies.

About the Role

We are seeking an Operations Associate to ensure our internal systems and client workflows operate seamlessly. This cross-functional position is ideal for individuals who excel in dynamic environments, enjoy tackling logistical challenges, and are eager to contribute to a mission-driven team.

You will collaborate closely with our clinical, client success, and leadership teams to maintain efficient, reliable, and scalable day-to-day operations.

Responsibilities

  • Oversee daily operational logistics pertaining to client and clinician workflows.

  • Establish and manage key internal systems including scheduling, intake tracking, and reporting dashboards.

  • Facilitate referrals, onboarding processes, and scheduling across multiple stakeholders.

  • Address clinician and client support inquiries with a problem-solving approach.

  • Document repeatable processes and suggest enhancements as we evolve.

  • Assist in building internal dashboards and trackers to monitor service delivery and team capacity.

  • Support special projects, including launching new employer clients and onboarding new providers.

  • Contribute wherever necessary, this is a startup, and teamwork is essential.
