Role Overview: Part-Time Administrative Assistant
This part-time, on-site position is based in the Lincoln Square office in Chicago. The Administrative Assistant serves as the first point of contact for clients and visitors, helping keep daily operations on track. The schedule covers Saturdays and Sundays from 10 AM to 5 PM.
Success in this role comes from strong attention to detail, excellent customer service, and clear communication. Real estate experience is helpful but not required. Enthusiasm and a dependable work ethic matter most.
What You Will Do
- Welcome clients and visitors at the front desk and answer incoming calls, directing questions to the right team members.
- Monitor and respond to the front desk email inbox, supporting both internal staff and external clients.
- Coordinate meeting schedules and prepare conference rooms for use.
- Create and manage MLS listings, making sure agent compliance documentation is accurate and complete.
- Handle mail and packages, ensuring prompt processing of deliveries and outgoing items.
- Open and close the office securely during assigned shifts, following established procedures.
- Assist with administrative tasks such as ordering and restocking office supplies.
- Prepare photos for agents for MLS listings and marketing materials.
- Work with the Marketing team on signage orders, billing, and data collection projects.
