Job Overview
As the Operations Specialist for the Port Alpha team, you will play a vital role in orchestrating operational activities with our external partners, while executing key projects that are essential to the success of the Port Alpha initiative.
In this position, you will facilitate alignment among internal teams, consultants, and vendors throughout the planning, engineering, and construction phases of the Port Alpha program. Your efforts will be crucial in organizing information flow, monitoring progress, and aiding in structured decision-making processes.
You will provide invaluable support to leadership by ensuring that priorities, risks, and dependencies are transparent, and that all actions are executed to completion.
Key Responsibilities
Program Coordination
• Streamline activities across the Port Alpha development team and external partners.
• Monitor and report on progress across critical project workstreams including engineering, operations planning, infrastructure development, and vendor relationships.
• Ensure clarity on project priorities, milestones, and dependencies.
Action & Issue Management
• Maintain a centralized log of key issues, decisions, and action items.
• Coordinate with responsible parties to ensure timely progress and resolution.
• Proactively escalate any risks or delays that may affect schedules or project objectives.
Meeting & Decision Support
• Assist in the preparation and coordination of internal program meetings, workshops, and reviews.
• Accurately document decisions, action items, and significant discussion points.
• Ensure that follow-up actions are communicated effectively and tracked.
Vendor & Partner Coordination
• Facilitate communication with engineering consultants, equipment vendors, and other external collaborators.
• Monitor deliverables, inputs, and necessary feedback from external stakeholders.
• Guarantee smooth information exchange between vendors and internal teams.
