In collaboration with our Sales Administration and Office Management Assistant, you will play a vital role in ensuring the smooth operation of our office.
Your goal? To enhance your skills in sales administration and office management while actively contributing to the organization and efficiency of our internal processes.
YOUR RESPONSIBILITIES:
Sales Administration:
- Receive, register, and process customer orders.
- Monitor ongoing orders and inform clients of any delays or changes.
- Prepare and send quotes, invoices, and commercial documents.
- Maintain and update customer databases and sales management systems.
- Respond to customer inquiries via phone, email, or mail.
Internal Collaboration:
- Coordinate with consulting and finance departments to ensure client satisfaction and prompt issue resolution.
- Communicate effectively with sales teams to ensure a clear understanding of client needs and expectations.
Dispute Management:
- Handle customer complaints and resolve issues related to orders and invoices.
- Collaborate with relevant departments to proactively resolve issues and ensure client satisfaction.
Office Management:
- Ensure the smooth functioning of administrative tasks such as managing mail and emails.
- Organize meetings and events for the team.
Facility Management:
- Oversee the maintenance of office equipment, supplies, and infrastructure.
- Coordinate with vendors for cleaning, security, and maintenance services.
- Manage contracts and relationships with external service providers.
Project Management:
- Participate in planning and executing specific projects related to improving office operations.
- Collaborate with relevant departments to ensure effective coordination and execution of projects.
