As an Administrative Secretary at Villa Park Sun Island, you will play a pivotal role in supporting our management team by facilitating communication and coordinating with various departments, government entities, and other institutions. Your responsibilities will encompass a wide range of administrative tasks, including preparing reports and maintaining essential documentation.
- Manage the General Manager’s appointment and meeting schedules.
- Prepare venues for the General Manager's meetings.
- Accompany the General Manager to meetings at the resort and other locations as necessary.
- Document and maintain minutes for the General Manager’s meetings.
- Act as a reliable source of information for all resort management members.
- Prepare and maintain minutes for management meetings.
- Provide general secretarial support to special committees and maintain records of their meetings.
- Oversee the management and organization of all documents transferred to the General Manager's Office.
- Collaborate with HR to maintain attendance records for all Administration Department members.
- Coordinate with HR to track leave and off-day records for all managerial staff.
- Ensure all incoming and outgoing documents to/from the General Manager’s office are properly filed while maintaining confidentiality.
- Handle and distribute incoming correspondence from the Head Office.
- Ensure all secretarial communication channels (email, fax, phone) are operational and distribute received correspondence to the respective departments.
- Maintain all government-related statutory records.
- Stay updated on local legislation and regulatory changes.
- Monitor and update the social media accounts for Sun Island Resort and Spa.
- Manage the website content for Sun Island Resort & Spa.
- Review online guest comments and feedback, forwarding relevant concerns to the General Manager and responding as directed.
- Collect and analyze information from guest comment forms.
- Follow up with relevant departments regarding the status of actions taken in response to guest feedback.
- Compile and maintain health and safety records, reports, and documents as required for Sun Island & Villa Hotels.
- Plan and execute promotional activities for resort facilities and services in collaboration with related departments.
- Operate and make announcements on the Public Address System.
- Assist the Environment Manager in collecting water samples for laboratory testing in Male’, ensuring all reports are filed for future reference and maintaining health and safety records.
