Job Overview
As a Workplace Assistant, you will be the welcoming face of our organization, serving as the primary point of contact for employees, candidates, customers, and vendors. This role encompasses front-desk coverage, visitor management, workplace and facilities support, and administrative coordination to cultivate a safe, inviting, and efficiently run office environment.
You will also play a vital role in ensuring the seamless operation of daily office activities and facilities management, addressing routine issues, and maintaining operational continuity in a high-visibility, professional atmosphere.
Responsibilities
Welcome visitors with a friendly demeanor, managing the check-in process to deliver a professional and inviting experience.
Ensure office readiness by maintaining cleanliness, organization, and a polished overall presentation.
Oversee visitor management processes, including pre-registration and compliance with security protocols.
Collaborate with Security to manage visitor access, flow, and adherence to onsite policies.
Assist in daily office operations including managing office supplies, distributing mail, restocking food and beverages, and general administrative tasks.
Coordinate and manage facilities needs, including minor repairs, preventive maintenance, and liaising with vendors for routine services.
Monitor, track, and escalate operational and facilities-related issues to the appropriate stakeholders for timely resolution.
Support onboarding and offboarding processes by ensuring workspace readiness and assisting with setup and orientation logistics.
Facilitate meetings and events by coordinating room setups, catering, and ensuring readiness of spaces.
Identify recurring issues and provide feedback to the Workplace and Facilities teams to enhance office operations.
Perform a variety of administrative tasks to bolster overall office efficiency.
