Key Responsibilities:
Front Desk Operations
· Provide exceptional front desk reception services, ensuring visitors and customers are greeted professionally and directed to the appropriate department based on their inquiries.
Telephone Management
· Operate the PABX telephone system, managing incoming calls with efficiency and courtesy, while addressing customer inquiries accurately. Aiming for a standard response time of three rings or less.
Meeting Coordination & Office Equipment Management
· Assist in organizing meeting room bookings across departments, providing confirmation details to the relevant teams.
· Maintain accurate records of office equipment such as LCD projectors and extension cords, ensuring the cleanliness of meeting spaces and the reception area.
Courier Management
· Handle all aspects of courier services, including sorting, distribution, invoice verification for payments, and preparing monthly reports.
Hotel and Air Ticket Bookings
· Coordinate hotel room bookings and air ticket arrangements for various departments, ensuring all records are maintained and confirmation details are communicated effectively.
Administrative Support
· Perform clerical tasks such as typing, photocopying, and filing necessary documents, including updates to the phone directory.
