The Role
We are seeking an exceptionally organized and proactive HR Operations Assistant to join our Hong Kong hub. You will serve as the operational backbone of our People function in Hong Kong, collaborating closely with C-level executives and team members across our global offices in Manila, Singapore, Serbia, and London to ensure seamless operational processes.
This is a hands-on, detail-oriented role ideal for someone who thrives in a fast-paced environment, takes initiative, and is willing to engage in everything from urgent logistics to day-to-day administrative tasks.
What You'll Do
Travel & Logistics
- Coordinate and manage flights, accommodation, and transportation for employees traveling between our global locations.
- Maintain travel records for financial accountability and ensure all bookings comply with company travel policies.
- Handle urgent changes and itinerary adjustments with minimal disruption.
Scheduling & Coordination
- Manage calendars and coordinate meetings across various time zones for HR and leadership teams.
- Organize interviews, team meetings, and cross-hub discussions.
- Prepare meeting agendas, document notes when necessary, and monitor follow-up actions.
Candidate Experience
- Act as the primary point of contact for candidates throughout the recruitment process in Hong Kong.
- Conduct check-ins at critical stages of hiring to keep candidates informed and engaged.
- Coordinate interview logistics, including room reservations, video conferencing setups, and communication with hiring managers.
Visa & Immigration
- Assist in the complete visa and work permit processes for employees relocating to or working from the Hong Kong hub.
- Work with immigration consultants, governmental agencies, and internal stakeholders to ensure timely and compliant processing.
- Keep accurate records of visa statuses, expiry dates, and renewal timelines.
