About the Role
Join a top-performing real estate team located in the Edison Park office as a part-time, licensed Real Estate Assistant. This position is pivotal in supporting the team's operations, transaction coordination, and lead management efforts.
We are looking for an individual who is comfortable on the phone, exceptionally organized, and dedicated to providing outstanding service and follow-through. This role merges inside sales, administrative operations, marketing support, and transaction management, ensuring a superior client experience while fostering growth.
You will work closely with the team lead and agents to guarantee that every lead is nurtured, transactions are seamless, and our systems are organized and efficient.
This position offers a hybrid work environment, combining in-person collaboration at our Edison Park office with the flexibility to work remotely as needed.
Core Responsibilities
Lead Nurturing & Inside Sales (Primary Focus)
- Engage with new and existing buyer and seller leads through calls, texts, and emails.
- Convert online inquiries into scheduled discovery calls for the team lead or agents.
- Implement lead follow-up sequences using our designated CRM platform.
- Regularly update lead statuses, notes, and follow-up tasks.
- Maintain Smart Lists and Action Plans to foster consistent lead engagement.
- Build rapport with prospects through ongoing communication and follow-through.
- Assist in refining lead lists and gathering data from property tax and public record sources.
- Help identify potential opportunities within the team's database.
Operations & Transaction Management
- Oversee transactions from listing to closing.
- Ensure adherence to Illinois real estate regulations and brokerage policies.
- Facilitate communication between agents, clients, attorneys, lenders, inspectors, and title companies.
- Monitor contract deadlines, contingencies, and document submissions.
- Prepare and maintain transaction files using SkySlope.
- Ensure accurate documentation and organization for compliance and recordkeeping.
Administrative Support (Secondary Focus)
- Assist with inbox management, file organization, and lead data entry.
- Help schedule appointments and confirm showings using tools like ZenList or calendar applications.
- Support marketing initiatives by submitting listing forms or uploading content.
- Maintain and organize SOPs, transaction files, documents, and contact records.
- Provide coverage and support for the team’s Virtual Assistant during busy periods or focused project work.
Marketing & Business Growth Support
- Contribute to social media content creation and marketing efforts.
