S. global engagement and supporting foreign policy goals by maintaining an active alumni network.

Role overview

The Program Assistant supports the daily operations of the Office of Alumni Affairs, helping to ensure smooth administration and active engagement with alumni. This position works closely with internal teams, U. S. missions abroad, and alumni to coordinate activities and manage administrative processes.

What you will do

  • Support the administration of Office of Alumni Affairs activities and daily office functions.
  • Collaborate with Regional Alumni Coordinators (RACs) and U. S. missions abroad to gather, monitor, and organize reports on alumni activities.
  • Manage procurement expenditures in line with the operational budget, and coordinate with the Deputy Director to identify and communicate any challenges.
  • Assist RACs in tracking budget requests for project proposals.
  • Help execute global funding initiatives, ensuring funds are spent on time and internal deadlines are met.
  • Engage with U. S. alumni to design and implement professional development seminars and activities.
  • Provide logistical support for Bureau projects, including planning and execution of various activities.
  • Draft and coordinate timely responses to inquiries about country, regional, and thematic alumni initiatives.
  • Maintain and improve the office SharePoint site in collaboration with technology teams.
  • Manage office supplies, work orders, and coordinate with facilities management.
  • Schedule and coordinate meetings for office leadership.
  • Serve as the main point of contact for both virtual and physical mail.
  • Act as the office timekeeper and provide administrative support to senior officials as needed.
  • Provide backup support for other staff members when required.
