Strong analytical and problem-solving capabilities. Proficient documentation and follow-up skills. Exceptional time management abilities. Strong organizational skills with keen attention to detail. Proficient in MS Office (Excel, Word, PowerPoint) and general PC skills. Ability to work independently with minimal guidance. Customer-focused mindset.

The Program Specialist I plays a vital role in fostering and sustaining relationships with Hiring Managers while overseeing the complete requisition process. This includes requisition intake, candidate sourcing and shortlisting, onboarding, assignment management, time and expense tracking, offboarding, and reporting. Acting as a talent advisor, the Program Specialist I supports clients throughout the requisition fulfillment process, ensuring timely acquisition of quality talent.

Key Responsibilities:

  • Support client managers at every stage of the contract labor acquisition process, including requisition intake, sourcing, and candidate selection.
  • Exhibit recruitment expertise by formulating insightful questions for hiring managers to gather detailed job descriptions for distribution.
  • Record discussions from requirement intake sessions in the appropriate database (VMS, AGS360).
  • Leverage reports to manage open requirements, advising managers on status and monitoring supplier sourcing strategies.
  • Collaborate with hiring managers to set expectations, timeframes, feedback, and roles in the requisition fulfillment process.
  • Guide and oversee the performance of staffing suppliers involved in the process.
  • Log all client/supplier issues and track their resolution, ensuring high customer satisfaction within the CRM system.
  • Monitor performance against contract SLA’s, requisition aging, invoicing, and vendor compliance.
  • Maintain and update monthly activity and performance reports.
  • Engage regularly with clients, staffing vendors, contract personnel, and other partners through various communication methods.
  • Assist with worker assignment management, ensuring data integrity for cost changes and contract extensions.
  • Coordinate with managers, vendors, and the security department to ensure all necessary documentation is completed before and after assignments.
  • Ensure accurate closure of work orders in the system with proper reasons upon assignment completion.
